# Switching from AgencyBloc: The 2026 Migration Checklist for Life & Health Agencies

## Before You Start: 3 Decisions

1. **Cutover date.** Pick a date 14–21 days out, ideally the 1st or 15th of a month so commission cycles align cleanly.
2. **Parallel period.** Plan 7 days where both systems run side-by-side. Do not skip this.
3. **Read-only retention.** Keep AgencyBloc active in read-only mode for 90 days post-cutover for commission reconciliation and audit trail.

## The 21-Step Checklist

### Phase 1: Export (Days 1–3)

1. Log into AgencyBloc → Settings → Data Export. Request full exports of: Contacts, Policies, Commissions, Activities, Tasks, Notes, Documents.
2. Download CSVs and store in a dated folder (e.g., `agencybloc-export-2026-05-20/`).
3. Export your custom fields list separately — these often need manual recreation.
4. Pull a list of integrations currently connected (Zapier, FormStack, etc.) — these must be rebuilt.

### Phase 2: Clean (Days 4–6)

5. Open Contacts CSV. Deduplicate by email + phone combination.
6. Standardize state codes (FL not Florida), date formats (YYYY-MM-DD), and phone numbers (E.164: +15551234567).
7. Flag any contacts with missing required fields for the new platform.
8. Tag inactive contacts (no activity in 24+ months) — decide whether to migrate or archive.

### Phase 3: Map (Days 7–9)

9. Build a field mapping document: AgencyBloc field → new platform field. Common mismatches: "Plan Type" → "Product Line", "Renewal Date" → "Anniversary Date".
10. Map commission records carefully: original payment date, carrier ID, NPN, split %, override hierarchy must all transfer.
11. Map custom fields. Anything that doesn't have a target field — create it before import.

### Phase 4: Import (Days 10–12)

12. Import contacts first. Verify counts match exactly.
13. Import policies second, linked to contacts by email or external ID.
14. Import commission history third — this is where most migrations fail. Spot-check 20 random records against AgencyBloc UI.
15. Import activities, notes, and documents last.

### Phase 5: Parallel Run (Days 13–19)

16. Run both systems in parallel for 7 days. New activity gets logged in the new platform; AgencyBloc stays untouched.
17. Reconcile daily. Any discrepancy = stop and fix before continuing.
18. Train team on the new platform during this window — not before, not after.

### Phase 6: Cutover (Day 20)

19. Update all forms, call forwarding, SMS numbers, and integrations to point at the new platform.
20. Send the team a "AgencyBloc is now read-only" announcement.
21. Set a 90-day calendar reminder to fully sunset AgencyBloc.

## Commission History: The One You Can't Mess Up

If you only get one thing right, get commission history right. Agents will notice the second a 1099 doesn't match. Preserve these fields exactly:

- Original payment date (not import date)
- Carrier name + NPN
- Policy number
- Premium amount
- Commission rate (FYC vs renewal)
- Split % and override chain
- Statement reference (so you can trace back to the original carrier file)

## What Most People Forget

- **Saved searches and reports** don't export. Screenshot them before you leave so you can rebuild.
- **Email templates** must be copied manually.
- **A2P 10DLC registration** is brand-specific — you'll need to re-register your texting brand on the new platform.
- **Calendar integrations** break. Reconnect Google/Outlook after cutover.
